Version 1.0 · Kairoklin Clinical System Terms of Service
These Terms of Service govern your clinic's use of Kairoklin Clinical System ("the Service"), provided by Kairova Technologies. By creating an account you are agreeing on behalf of your clinic ("you", "your clinic"), and you confirm you are authorised to do so.
New clinics receive a free trial. After the trial period, continued access requires an active subscription: Kairova Technologies issues an invoice, and access resumes as soon as it is marked paid. We do not store or process card payments ourselves; payment is arranged directly between you and Kairova Technologies (for example by bank transfer or mobile money).
All patient and clinic records you enter remain your property. Kairova Technologies acts only as a processor of that data on your behalf (see the Privacy Policy for what that means). You may request a copy of your data, or its deletion, at any time by contacting support@kairoklin.com.
You are responsible for: the accuracy of data your staff enter; keeping your team's sign-in credentials confidential; and using the Service in line with your own professional, ethical and legal obligations as a healthcare provider, including obtaining any consent your own patients require from them before entering their information into the Service.
You agree not to use the Service to store data you are not lawfully entitled to hold, to attempt to access another clinic's data, or to interfere with the Service's normal operation.
We aim to keep the Service available and backed up, but do not guarantee uninterrupted access. Support is available at support@kairoklin.com.
We may suspend access for a clinic whose subscription has lapsed (see Section 2) or who breaches these Terms. You may stop using the Service at any time; your data is retained for a reasonable period afterward in case you wish to export it, then deleted on request.
We may update these Terms from time to time. Material changes will be reflected in a new version number, and continued use of the Service after that point means you accept the update.

For your clinic's own account and billing information, Kairova Technologies is the data controller. For patient records your clinic enters into Kairoklin Clinical System, your clinic is the data controller and Kairova Technologies acts only as a data processor - we store and process that data on your instructions, and do not use it for our own purposes.
To provide the Service, to secure your account, to bill your clinic, to send service notices (such as a password reset or a trial-ending reminder), and to maintain the backups and audit trail described below.
Data is stored on servers operated by or for Kairova Technologies. Every clinic's data is kept logically separate and is never shown to another clinic. Kairova Technologies's own support staff may access your data only when you ask for help, and that access is itself logged and visible to you.
For as long as your account is active, and for a reasonable period after you close it in case you want to export your data, after which it is deleted on request.
We apply standard safeguards: encrypted connections, hashed passwords, per-clinic data isolation, regular backups, and an audit trail of actions taken on your account.
You may ask us to provide a copy of your data, correct it, or delete it, by contacting support@kairoklin.com. If your clinic operates in Uganda, these requests are handled in line with the Data Protection and Privacy Act, 2019.
If we become aware of a breach affecting your data, we will notify you without undue delay.
We may update this Privacy Policy from time to time; material changes are reflected in a new version number.
